When you select all desired options in the Purge wizard and then start the purge process, the wizard analyzes whether individual transaction and maintenance records can be deleted based on a number of criteria. This topic describes the criteria that determine when jobs, phases, and cost codes will not be purged.

Jobs

A job is retained if one of the following is true:

  1. It is active.
  2. There is a transaction referencing the job and the transaction date is greater than the purge-through date. This is true also of a job beginning balance that has an entry date greater than the purge-through date.

Phases and Cost Codes (Sage 50 Premium Accounting and higher)

A phase or cost code is retained if one of the following is true:

  1. It is active.
  2. The phase or cost code is used on a transaction (such as a quote or sales invoice) after jobs have been purged.
  3. The phase or cost code is used on any job beginning balances after jobs have been purged.
  4. The phase or cost code is used on any of the following memorized transactions:
  5. The phase or cost code is used on a job estimate after jobs have been purged.

Change Orders (Sage 50 Premium Accounting and higher)

When a job is purged, any related change orders are also purged.
