Security Access Rights
Sysadmin User
This is the user profile that is created when you install Sage 50 Accounting. The sysadmin profile has full accounting rights (see below) for all of the company records and is able to create, remove, or modify other users.
Additional Users
When adding or changing a user profile, the sysadmin user can grant different levels of access.
Time Slip Entry Only (Sage 50 Premium Accounting)
You can add users who can view only the Time Slip entry window. The Home window is hidden. A time slip entry user can look up, select, and record time slips only for the employee(s) for whom they have rights.
Full Accounting Rights
To grant a user full access to your data, you can check the Full Accounting Rights box. Any user with full rights can use the same features as the sysadmin user, except for the right to add, remove or modify users.
Note: The Full Accounting Rights option differs from assigning all the rights on the Add User or Modify User window, because Full Accounting Rights allows additional rights, such as closing a year and starting a new year, or modifying all system setting options.
Limited Accounting Rights
Assigning individual rights to a user (see Access Rights below) limits their access to your company data. Even selecting all the access rights individually does not give a user full access to additional tasks, such as closing a year, starting a new year, or modifying all system setting options.
In the Sage 50 Quantum Accounting and Sage 50 Accountant Edition of Sage 50 Accounting, users can also be given access rights to individual reports. (Sage 50 Quantum Accounting)
Security Roles for Accounting Users (Sage 50 Quantum Accounting)
To grant accounting users a predefined set of access rights that are based on a person's role in the company, you can select an existing security role or create a new role. Roles do not include access rights from third-party products (like Microsoft Access). All accounting users who are not assigned a role are grouped in the Custom role, even though their user rights may be different from each other.
Access Rights
If you want to allow a user access only to particular modules, you can check the Allow Access box to each module and then select what options they can use:
Records
- Modify. Add, change, or delete the records for a particular module, such as customers and vendors. The right to view
is also automatically assigned. In Sage 50 Quantum Accounting, however, the right to delete inventory and service items is set independently by the Remove option.
- Remove. (Sage 50 Quantum Accounting) Delete the records for a module. The right to view is also automatically assigned. In the inventory module, once the right to modify is assigned, the right to remove can be assigned or cleared. In all other modules, the right to remove is set by the right to modify.
- View.
View the records for a module, but not edit them (unless the right to modify is also assigned).
- Reports. Display, print, and export the reports for a module; includes graphs, lists, mailing labels, and management reports. Show me which reports each Record security option enables.
Transactions
- Enter. Add, change, or delete the transactions for a module, such as purchases or sales, and make corrections, and import purchase and sales orders. The right to lookup is assigned automatically.
- Lookup. Look up and view invoices, payments, paycheques, deposit slips, general journal entries, or time slips, but cannot edit them (unless the right to enter is also assigned).
- Reports. Depending on access rights, the user can display, print, and export the transaction reports and graphs for a module, but not list reports, mailing labels, and management reports. The Reports check boxes have three states:
for no access,
for full access, and
for access to some, but not all, reports (also called custom access).Show me which reports each Transaction security option enables.
Note: To view
or print a Recurring Transaction Report in the Daily Business Manager, rights must be set up for the Enter and Reports options. If the user does not have both rights for a given transaction type, the user will not be able to see transactions of that type in the Daily Business Manager.
Messaging Security Rights
If you want to allow a user to view all product-related messages, you can select Full Access in the Full Messaging Rights menu. To disable all messages for a particular user, select No Access in that menu. You can also select Full Access or No Access for the individual message types.
Note: Support messages or those that are critical in nature cannot be disabled.
